A dynamicand user-friendlyapproach to the protection of your personal data

What we do​: Dynamic is an app designed to offer to registered users functions of management and access to public and private spaces in the different phases of the emergency, with a limited impact on the protection of personal data, thanks to a dynamic application of the principles of privacy by design and ​by default (e.g. minimization of data processing and pseudonymisation of personal data, transparency and control by the user). In accordance with the General Data Protection Regulation (GDPR), we made an Impact Assessment (DPIA) on the processing activities carried out by Dynamic. DPIA is accessible here.

What data is collected​: By registering, you provide Dynamic with your basic information (e-mail, name, surname, gender) and some data that will allow us to help you in your daily activities, such as attending a study room or library.

How they are processed​: With each registration, Dynamic allows you to choose a username: in this way it will be possible to operate on the platform in a protected anonymity mode, through a pseudonym.
Dynamic, as data controller, cooperates with with accredited space managers, as data processors (manager of a university classroom, administrators of private spaces), with the exclusive purpose of coordinating the inflows in accordance with the provisions of prevention and safety in force in the various phases of the emergency.

By selecting a space registered on Dynamic through the search options or by activating the GPS of your mobile device, you can book your access to a space or check its availability in real time.

How long we keep your data​: The user’s contact data, necessary for the operation of the platform, is kept by Dynamic until the complete cancellation of the account.
All personal data relating to the operations carried out by the user using the platform, in particular the history of data relating to the use of a given space, are kept exclusively for the time necessary to pursue the purpose of coordinating the flow of users according to availability of each chosen time window.

The storage of such data will in any case last no longer than 28 days, understood as a strictly necessary period and calculated on objective parameters such as twice the incubation period indicated by the Health Authority, with the aim of guaranteeing, only where required by National Authorities, the transmission of relevant information to protect the health of other users (e.g. contact information of users who have shared the same space with a user who is positive to COVID-19 in the following 14 days). However, these data will be automatically deleted on expiry of the term.

The anonymized data are kept by Dynamic exclusively for the carrying out of processing activities, also in aggregate form (but which do not in any case lead to the identifiability of natural persons), for scientific or statistical purposes (e.g. calculation of the number of accesses in one space in a week, overcrowding peaks etc.).

User rights​: all registered users can promptly and dynamically request to exercise their rights, through a request addressed directly to: ​ or through the data protection officer (DPO): ​ ​.

You can obtain a free copy in portable and interoperable format of all your data, also for the purpose of voluntarily providing a preventive information of your previous movements to National Authorities (​Right to portability​). You can also obtain, in the foreseen cases, access to personal data and rectification, the integration or cancellation of the same or the limitation of the treatment that concerns him, the block of the processed data or the cessation of the treatment.
